Overview

This Privacy Policy explains what data SPRITEbot ("the Bot") collects, how it is used, and how you can manage or delete it. By using the Bot, you agree to the practices described here.

SPRITEbot operates on the Discord platform. This policy covers data handled by the Bot itself. For information about how Discord handles your data, see theDiscord Privacy Policy.

Data We Collect

SPRITEbot collects and stores only the data necessary to provide its features. This includes:

  • Discord identifiers: User IDs, server (guild) IDs, channel IDs, role IDs, and message IDs used to connect commands and features to the correct context.
  • Game and campaign data: Game names, descriptions, stat templates, character sheets, inventory items, and other configuration created through bot commands.
  • Roleplay content: In-character and out-of-character message text submitted through /ic and /ooc commands, along with webhook message references used for editing and deletion.
  • Thread bump configuration: Channel and thread references and scheduling preferences for automatic thread bumping.
  • Transcription data: When a GM explicitly starts a voice transcription session, the Bot stores session metadata and generated transcript files.
  • Subscription status: Discord subscription identifiers used to determine whether a server has Premium access. We do not store payment details.

We do not collect message content from general server chat. The Bot only processes content explicitly submitted through its commands and interactions.

How We Use Your Data

Collected data is used solely to operate SPRITEbot's features:

  • Running campaigns, managing characters, and processing game commands
  • Proxying in-character roleplay messages via webhooks
  • Tracking inventory and character stats
  • Scheduling and executing thread bumps
  • Producing GM-requested voice transcription output
  • Determining subscription and feature access
  • Diagnosing errors and improving Bot reliability

What We Don't Do

  • We do not sell, rent, or share your data with third parties.
  • We do not use your data for advertising, profiling, or behavioral targeting.
  • We do not disclose data to data brokers, ad networks, or monetization services.
  • We do not use message content or API data to train machine learning or AI models.
  • We do not mine or scrape Discord data beyond what is needed for Bot functionality.

Data Sharing

We do not share your data with third parties except in the following circumstances:

  • When required by law, legal process, or government request
  • When you explicitly direct us to share data (for example, posting a character sheet to a channel)
  • With service providers who help us operate the Bot, bound by confidentiality obligations

Data Retention and Deletion

Data is retained only as long as necessary to provide the Bot's features. When data is no longer needed, it is deleted.

  • Deleted game and character data may be held during a soft-delete recovery window before permanent removal.
  • Transcripts are posted into the configured Discord text channel when a GM stops transcription. Server admins manage those files per their own server policies.
  • When the Bot is removed from a server or a subscription ends, associated data will be deleted after a reasonable retention period.

You can request deletion of your data at any time. See the Contact section below for how to reach us. We will process deletion requests promptly in accordance with Discord's Developer Policy and applicable privacy laws.

Your Rights

Depending on your location, you may have rights under privacy laws such as the GDPR, UK GDPR, CCPA/CPRA, or LGPD. These may include the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict certain processing
  • Receive your data in a portable format

Security

We use commercially reasonable measures to protect your data, including encryption at rest and access controls. However, no system is perfectly secure. If we become aware of unauthorized access to your data, we will notify affected users and Discord as required by applicable law.

Children's Privacy

SPRITEbot is not directed at children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect data from users below this age. If we learn that we have collected data from a child under the applicable minimum age, we will delete it promptly.

Changes

This Privacy Policy may be updated periodically. Material changes will be communicated through the Bot's support channels or website. Continued use of the Bot after changes are posted constitutes acceptance of the updated policy.
